After your caseload has been established and your student groups have been created, your account is now ready to begin tracking services for each of your students. To submit your first service tracking log, navigate to the “Logs”, “Service Tracking” option.
On the first page of the service log, the date will be auto selected for you based on the current date. You can change that field as necessary. Then select which students you are providing services for by clicking the student box and selecting each of the students that are in your caseload by checking their names. Alternatively, you can select by the pre-established groups by selecting the “Choose By Group” option on the bottom and clicking your desired group name.
Once the students have been selected, change the start and end times of the services as necessary.
On page 2 of the service tracking log you will be asked if you would like to “use the same session record notes for all students?” The session record notes refer to the services that were given to those selected students for that session. If you check this box, then you can apply the same notes for each student. If you do not check this box, then you will have to write separate notes for each student in the service tracking log.
The next option asks if you would like to “use the same image for all students?” If checked, this option will allow you to submit an image as evidence of services that applies to each student in the log. For example, if students worked on a group project and you wanted to submit a picture of their work as a group. If this option is not checked, then you are given the option to attach an image that is unique per the students in the service tracking log.
Depending on the options chosen above, for each student selected in the service log you will then be required to select which goal was worked on during that session. As a reminder, you can select the info button to the right of the goal to bring up the full goal details and description. To select the goal, simply click the goal name and it will take you back to the service tracking log.
If a student in a group was absent, then you can check the “Was Absent” box to indicate that the student did not receive the intended services.
If, by chance, you realize mid-service tracking log that you need to add or remove a student then you can do so by clicking the button in the bottom right hand corner and choosing the “Add/Remove Students in Service Log” option.
Once all fields are completed, submit the log by hitting the “Submit” button on the bottom of the page.
After the log has been submitted, you will be brought to a review page in which you can edit the log for a specific student if desired by selecting the students name and editing the fields as required. On the review page you will also be given the options to “View Analytics”, “Create a New Log” or “Go to the Home Page”.
